Add your own record
Updated
Upload a document you already hold, such as an older certificate or experience letter, and Arrota adds it to your Vault with an honest label.

Before you begin
- Confirm your email address. Uploads open once it is confirmed.
- Finish setting up your Vault. Arrota reads uploaded documents with AI, so uploads need AI processing, which you choose during setup. There is currently no setting to change that choice later. Contact Support if you need help.
- Have the file ready as a PDF, PNG or JPEG of up to 25 MB. Your name must appear on the document.
Upload a document
- In your Vault, select Upload document.
- Under Who issued it, enter the organisation named on the document.
- Choose the file.
- Keep the tab open while Arrota scans and reads the file. Each stage is shown as it happens.
When it finishes, the record appears in your Vault with one of two labels.
How your upload is labelled
- AI checked: Arrota read the document and matched your name. This is not confirmation by the organisation that issued it.
- Self added: Arrota could not check it automatically. The record is kept, but it is not checked.
Neither label lets you pin the record to your public profile. That needs an organisation to stand behind it.
Ask the organisation to confirm it
On the record in your Vault, select Request issuer verification and name the organisation that can confirm it. Arrota delivers the request when that organisation uses Arrota. If it confirms the record, the label changes to Issuer confirmed.
What Arrota refuses
- Documents that do not show your name.
- Receipts, invoices and other documents that are not certificates, letters, licences or records.
- A file you have already uploaded.
- Files that fail the security scan.
See Why an upload is still processing or was rejected.
Remove a file you uploaded by mistake
On the record in your Vault, select Remove next to the file, then Delete permanently. The file is destroyed, and your audit history keeps a note that a file was uploaded and removed.
You can remove only files you uploaded yourself. A record an organisation issued to you cannot be deleted from your Vault, but you can dispute a fact on it. See Correct a record.
