For schools, colleges and universities

Records should outlast the portal they were issued from.

A student’s relationship with you lasts a few years. Their records may matter long after graduation. Arrota sits between those two realities.

The gap

Alumni access shouldn’t depend on a student portal.

Student portals close. Email addresses deactivate. Ten years on, the graduate needs proof, and the institution receives another manual records request.

Records issued through Arrota are designed to remain accessible beyond the student’s relationship with the institution: the graduate holds them. Public records can be checked directly; private verification remains Authorised and scoped.

Records education institutions issue

Everything a registrar’s office signs.

Certificates

Course and programme completions, issued singly or in bulk.

Awards

Prizes, honours, and recognitions with the institution as Source.

Results records

Structured outcomes, where supported, beyond a pass/fail letter.

Achievement records

Organisation-confirmed activity an institution chooses to stand behind.

Continuing education

Professional-development completions for working alumni.

Additional formats

Other registrar formats can be scoped during implementation.

Student ownership and administrative correction

Students hold the record. Institutions remain the Source.

Students claim records into a vault they control while the institution remains the Source. Because education records require administrative corrections, every fix preserves what was there before.

Claim, graduate, keep access

The claim typically happens while the student still has access. The record then moves with the graduate instead of remaining inside the institution’s portal.

Corrections with an audit trail

A misspelled name or wrong conferral date is corrected through a traceable process. The change is dated and attributed, and the previous value is preserved.

How lifecycle control works

Your questions answered

Frequently asked questions.

Can we issue to graduating cohorts in bulk?

Yes. Bulk issuance validates the file before records are created and tracks claims afterwards.

What about records issued before Arrota?

Historical records can be brought in with their original dates and the same lifecycle controls.

Who fixes an incorrect record?

The institution corrects issuer-signed fields through a traceable process. Students can ask for a review or a correction but cannot change those fields themselves.

Does the institution control student profiles?

No. Holders control what they publish, while the institution controls the records it signs.

Can students keep access after graduation?

Yes. Claimed records stay in the student’s Vault and are designed not to depend on continued access to the institution’s portal.

Can we revoke or supersede an award?

Where appropriate, yes. The updated Status and dated History remain visible so an older link does not present an outdated record as current.

Can external organisations check a public credential without an account?

Yes. A published credential can be opened through its verification link to inspect its Source, Status and permitted details without an Arrota account.
